How to File a Change of Company Address Online

A Company in Kenya can now change its registered office address online through the Business Registration Service (BRS) on the eCitizen platform without visiting government offices physically.

This allows business owners to comply with the Companies Act, 2015, by updating their registered office details electronically through the Registrar of Companies.

Under the Companies Act, 2015, every registered company is required to notify the Registrar of Companies within 14 days after changing its registered office address.

However, failure to update the company’s records within the prescribed period may result in compliance issues or administrative delays when making future filings.

For the application process to start, applicants should log into their eCitizen account using their registered email address, access the Business Registration Service (BRS) from the dashboard, and select Company Registry Services.

Step 1: Initiate Address Change

Thereafter, they will be required to navigate to My Businesses and choose the company whose address they wish to update.

After selecting the company, applicants should click “Maintain Company,” choose “Change of Particulars,” and then select “Change of Registered Office Address.

Additionally, companies will also be required to enter the new physical location, postal address, and official email address before proceeding to the next stage.

Step 2: Upload the Required Documents

After filling in the right details, one will download, sign, and upload the required statutory forms, including the CR16 required for changing a company’s registered office address.

However, in cases where the company wants to change the director’s residential address, a CR8 form will be needed.

To ensure all required documents are uploaded, one is required to provide a board resolution, proof showing the new business premises, and Copies of identification documents for company directors.

Companies are further advised to ensure all information matches their official records to avoid delays during processing.

Step 3: Submission

Therefore, once all details have been entered and all supporting documents uploaded, applicants proceed to submit the application electronically through the BRS portal at a processing fee of Ksh 850.

The payment can be made through the available eCitizen payment options, including M-Pesa, debit or credit card, and bank transfer.

When payment is confirmed, the application is then forwarded to the Registrar of Companies for review and approval.

Step 4: Processing Time

According to the Business Registration Service, applications are typically processed within two to five working days, depending on the volume of requests.

Once approved, applicants can download and print the Certificate of Change of Address directly from their eCitizen account.
