Common Mistakes That Can Get Your KUCCPS Inter-Institutional Transfer Rejected

Kenyan students hoping to transfer from one university or TVET institution to another can now apply through the Kenya Universities and Colleges Central Placement Service (KUCCPS), which has opened a one-month inter-institutional transfer application window.

However, the placement agency warns that most of the applications will be rejected due to several errors.

Eligible applicants must be students who are placed via KUCCPS into the 2023, 2024, and 2025 KCSE cohorts.

However, KUCCPS does not guarantee approval.

“Each transfer application is considered in terms of the programme cut-off points, the admission requirements and whether or not there is a vacancy in the institution the student desires to join,” said KUCCPS.

KUCCPS Posted Four Big Mistakes that Cause Disqualification

  • First is where students do not meet the minimum cut-off points when applying to courses.

The board states, “An applicant must attain the minimum cut-off points for his/her preferred courses. Where the application is below the required cut-off points, he/she may not be considered.”

  • Second, candidates neglect programme-specific subject prerequisites.

“In addition to meeting the general subject requirements, a candidate for transfer must also satisfy the specific subject needs of the programme,” said the agency.

  • Third, students vie for an entire course.

The system of inter-institutional transfer causes students to compete for available spaces at the receiving college.

“The inter-institutional transfer process, which is based on the space availability at the receiving institution, puts all applicants on the same footing, even the best qualified candidates.” The board stated

  • Fourthly, last-minute applications.

KUCCPS has “urged students to apply early to avoid being locked out of the transfer windows or facing end-of-harvest system glitches after the August 14, 2026, deadline.”

  • Fifth, is Applying After the Deadline

One of the most common mistakes is submitting the application after the 30-day transfer window closes. KUCCPS only accepts applications during the specified period, and late submissions are not considered.

Applicants should complete the process well before the deadline to avoid last-minute technical issues.

  • Sixth is Selecting an Institution Without Available Capacity

Even if you qualify for a programme, the receiving institution must have vacant slots.

If the institution has already filled all available positions, your transfer application cannot be approved.

  • Lastly, failure to obtain Institutional Approval

An inter-institutional transfer requires approval from:

  1. The institution where the student is currently placed.
  2. The institution the student wishes to join.
  3. KUCCPS.

If either institution declines the request, the transfer cannot proceed.

Data Accuracy During KUCCPS Inter-Institutional Transfer

The agency also cautioned against incorrect information being posted on the portal.

The board advised that mistaken personal information, deselecting an incorrect institution, or choosing the wrong programme might stall the processing or influence the result of the application.

The transfer window follows the 2026 placement results released, which saw 200+ students, 57,514 students with a C+ and above, not placed in any degree programmes.

The ministry advised all applicants to check transfer instructions before applying to increase the probability of success.
