How to Apply for Cargo Storage Extension at Mombasa Port

Importers and exporters facing delays in cargo clearance at the Port of Mombasa can apply for extended cargo storage, waivers, or free storage extensions from the Kenya Ports Authority (KPA).
Applicants must submit an official request accompanied by the necessary shipping, customs, and commercial documents.
KPA grants storage extensions to help traders manage delays caused by documentation issues, transportation challenges, regulatory approvals, or other factors that hinder cargo clearance.
Traders can submit the request directly or through an authorized agent.
To begin the process, traders should engage a licensed clearing agent who can assist with the application and liaise with port authorities on their behalf.
Requirements for the Extension of Cargo Storage
The request must be made in the form of a request letter that explains the reason why the clearance was delayed.
The request letter should be made on the letterhead of the organization or the individual making the request, accompanied by their identity information.
Documents to be attached include the original Bill of Lading, the Customs Entry Form that has been approved by the Kenya Revenue Authority, Delivery Order from the shipping line/agent, and relevant KPA invoices, among other documents that explain the reasons for the delay.
The request letter, together with the documentation, is then submitted to the Commercial & Insurance Services Division in KPA Headquarters in Mombasa.
Traders can use the KPA eCitizen Portal since all services are carried out online.
The Management of KPA will evaluate the application and then make the decision.
This normally takes around five working days, after which the trader will receive the results officially.
In case the request is granted, KPA will issue the authorization slip.
Cargo owners have to pay the revised charges and clear their cargo within seven days of approval.

Temporary Storage Facilities at Mombasa Port
Temporary storage at Mombasa Inland Container Depot (ICD) allows importers/exporters to store their consignments in custody until they complete clearance or arrange transport of their goods.
The process is managed by the Kenya Ports Authority and gives importers and exporters extra time to conclude the necessary formalities.
KPA provides up to 15 days of free storage of containers, thereafter payment for storage is made based on the type of container.

Before applying for temporary storage, traders must ensure that their containers have been cleared and registered.
Applicants must possess essential documents, including a bill of lading, import or export permits, customs entry documents, and the agent’s identification details.
They should also provide accurate container information, such as whether the container is 20-foot or 40-foot and whether it is full or empty.
Understanding Kenya Ports Authority (KPA) tariffs can help traders prepare for any charges that may apply once the free storage period expires.
To complete the application process, traders must contact either the KPA office or the Inland Container Depot (ICD), submit the required shipping and customs documents, and obtain a storage order or position slip.
The slip indicates the container’s storage location and the approved storage period.
Where storage fees apply, traders must make the necessary payment before receiving a gate pass authorizing the movement of the container.
